Government Authority located in Maryland; USA based organization looking for expert vendor for paper to digital document scanning services.
[A] Budget: Looking for proposal
[B] Scope of Service:
(1) Vendor needs to provide paper to digital document scanning services at various correctional facilities located throughout state.
- Collect all incoming paper mail directed to inmates/detainees, scan this mail into an electronic searchable document, print the electronic document, deliver the printed documents to the designated correctional facilities on a daily basis and perform the same process for any outgoing mail from an inmate/detainee.
- The data collected from the electronic scanning of mail would be stored in a centralized security
system would improve intelligence gathering for the department, system needs to allow access to data from various users, ability to allow for keyword searches, track all mail sent or received by each inmate/detainee, system users need to be able to retrieve data for reports and analysing of statistics, system needs to allow for the identification of both sender and receiver, web-based system using encrypted access, saves electronic copies of all correspondences, allow access or capability to search and review all correspondences, all data/correspondences must be encrypted while at rest and if stored in the cloud, safeguards must be in place that will not allow cloud technical staff to review any files/correspondences either from within or outside.
(2) All question must be submitted no later than September 28, 2018.

[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office premises.
